What changed: compare two exports

New, removed and changed records between two exports of a listing.

Upload two exports of the same form or listing from any EDC: the previous one (for example, from your last data review) and the current one. The portal matches the records and shows what is new, what is gone and which values changed, as "was → now".

What it is for

  • Review only what is new. No need to read the whole listing again: new records and changed values are enough.
  • Changes to reviewed data. You see when a site changed a value after SDV, after a query was closed or after a freeze.
  • Records that disappeared. Deleted forms and lines that are easy to miss in the EDC.
  • Structure changes. New and missing columns after an eCRF migration.

How records are matched

A record is identified by its key. If the key field is empty, the portal takes the site, subject, visit, form and line columns (Site, Subject, Folder, Form, RecordPosition, redcap_event_name, AESEQ and similar, Russian names included) and picks the shortest set that is unique in both files. You can type the key yourself, comma separated.

If the key still repeats, such records are paired in file order and the portal warns you. Add a line or sequence column to the key.

Numbers compare by value (5, 5.0 and "5,0" are equal), Excel dates by day. System columns (last modified, export date, time stamps) are not compared by default. If a column changes in almost every record, the portal suggests ignoring it.

Excel report

"Download Excel report" gives a workbook with a summary (by site and by column), changes field by field, new records, removed records and the current export with highlights: new rows in green, changed cells in yellow. The files stay selected after the result is shown, so you can download the Excel straight away.

Try it

Example files: vs_2026-09-26.csv, vs_2026-10-03.csv. Upload the first file as the previous export and the second as the current one. You will see new visits, changed blood pressure and weight values, and removed records.

Sources

Nothing is stored. Both files are read in memory and discarded. The audit trail records only the row counts and the number of differences. The administrator sets the size limits and comparisons per day.
